Agreement to Our Terms
These Terms and Conditions (“Terms”) are a legal agreement between you (“you” or “User”) and YachtSync Ltd, a company registered in England and Wales with registered office at 66 Paul Street, London, EC2A 4NA, United Kingdom (“YachtSync”, “we”, “us” or “our”).
They govern your use of the YachtSync mobile application and any associated websites or services (together, the “Services”).
By creating an account, downloading the App, or otherwise using the Services, you confirm that you have read, understood and agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Services.
You must be at least 18 years old to use the Services.
We may update these Terms from time to time. We will notify you of material changes via the App or by email. Your continued use after any update constitutes acceptance of the updated Terms.

1. About the Services
YachtSync is a tool that helps professional maritime crew store, organise and track their professional certificates — including but not limited to STCW certificates, ENG1 medicals, CoCs, passports, visas and training records.
The Services include features such as:
- Uploading and storing certificate documents
- Recording certificate dates and setting renewal reminders
- AI-assisted extraction of certificate details from scanned documents
- Offline access to certificates on your device
- Push notifications about upcoming expiries
YachtSync is an organisational tool. We are not a certification authority, flag state, training provider, crewing agency, employer, regulator or legal adviser. We do not issue, verify, endorse or confirm the validity of any certificate.
2. Accounts and registration
To use the Services you must create an account and provide a valid email address and password. You agree to:
- Provide accurate, current and complete information
- Keep your login credentials confidential and secure
- Notify us promptly at legal@yachtsync.uk if you suspect unauthorised access to your account
- Be responsible for all activity that occurs under your account
You may only create one personal account. Accounts are for use by a single named individual and may not be shared, transferred or sold.
3. Free and paid tiers
3.1 Available tiers
YachtSync is available in the following tiers:
- Free — up to 20 certificates stored and 2 lifetime AI scans. No payment required.
- Pro Monthly — £4.99 per month. Unlimited certificates and unlimited AI scans.
- Pro Annual — £39.00 per year. Unlimited certificates and unlimited AI scans.
- Pro Lifetime — £99.00, one-time purchase. Unlimited certificates and unlimited AI scans, with no recurring charge.
3.2 Billing and auto-renewal
Pro Monthly and Pro Annual subscriptions are billed via Apple In-App Purchase (iOS) or Google Play Billing (Android). By purchasing a subscription:
- Payment is charged to your Apple ID or Google Play account at confirmation of purchase.
- Your subscription will automatically renew at the end of each billing period at the then-current price unless cancelled at least 24 hours before the end of the period.
- You can manage or cancel your subscription at any time through your Apple ID Settings (iOS: Settings → your name → Subscriptions) or your Google Play account (Android). Cancellation takes effect at the end of the current paid period; you retain access until then.
- Pro Lifetime is a one-time purchase with no auto-renewal.
3.3 Refunds
All purchases are processed by Apple or Google. We do not issue refunds directly. Refunds are handled solely by Apple and Google in accordance with their own refund policies. You may request a refund from Apple at reportaproblem.apple.com or from Google via the Google Play Help Centre. Nothing in this section affects any statutory refund rights you may have under applicable law.
3.4 Subscription management (RevenueCat)
We use RevenueCat to manage subscription entitlements across devices and platforms. RevenueCat stores your purchase history and subscription status in order to verify whether you have an active Pro entitlement. See our Privacy Policy for details on how this data is handled.
3.5 Price changes
We reserve the right to change subscription prices. Where required by Apple or Google, you will be notified of price changes before they take effect and asked to re-confirm your subscription.
4. Your content
You own your data. The certificates, documents and information you upload (“Your Content”) remain your property. We do not claim ownership of Your Content.
Licence to us. You grant YachtSync a limited, worldwide, non-exclusive, royalty-free licence to host, store, process, transmit and display Your Content solely for the purpose of providing the Services to you (including sending documents to our AI provider when you use the scanning feature — see Section 6).
Your warranties. You represent and warrant that:
- Your Content belongs to you or you have the right to upload it
- Your Content does not infringe the intellectual property or privacy rights of any third party
- You are responsible for the accuracy of any data you enter or that is extracted by AI and that you review
No fraudulent documents. Uploading forged, altered or fraudulent maritime documents is strictly prohibited and may be reported to relevant authorities.
5. Acceptable use
You agree not to:
- Use the Services for any unlawful purpose or in violation of any applicable maritime regulation
- Upload content belonging to another person without their explicit consent
- Attempt to access, tamper with or use non-public areas of the Services, our systems or the technical infrastructure of our sub-processors
- Reverse engineer, decompile or disassemble the App except where permitted by law
- Introduce viruses, malware or any harmful code
- Interfere with or disrupt the Services, including by overloading, spamming or flooding the infrastructure
- Scrape, copy or harvest data from the Services via automated means
- Resell, sublicense or commercialise the Services without our written permission
- Impersonate another person or misrepresent your affiliation with any entity
We may suspend or terminate your account for any breach of this section.
6. AI-assisted features
YachtSync offers AI-assisted scanning to extract certificate details from documents you upload. This feature uses a third-party AI provider (currently Anthropic's Claude).
Accuracy disclaimer. AI is imperfect. Extracted information may be wrong, incomplete, or ambiguous. You are solely responsible for reviewing and verifying every detail the AI returns before relying on it. We strongly recommend you cross-check expiry dates, certificate types and other details against the original document.
AI does not validate authenticity. The AI only reads text and returns its best interpretation. It does not verify that a certificate is genuine, issued by a legitimate authority, or currently valid under any regulatory regime.
Optional feature. You can add certificates manually without using AI. AI scanning is an optional convenience, not a required step.
Data handling. When you use AI scanning, documents are transmitted to our AI provider. See our Privacy Policy for full detail.
7. Storage limits and data management
- Storage limit. Free accounts are subject to a storage limit of 50 MB per user. Once reached, you will need to delete content or (when available) upgrade to a paid tier in order to upload more.
- File types. The Services accept PDF files. Images captured with the in-app camera are converted to PDF before upload.
- Soft delete. When you delete a certificate, it is placed in a recoverable state for 30 days before permanent deletion. You can restore deleted certificates within that window.
- Account deletion. You may delete your account at any time from within the App. Account deletion triggers permanent deletion of your data within 30 days (subject to limited retention described in the Privacy Policy).
- Your responsibility for backups. While we maintain reasonable backup procedures, you are responsible for keeping independent copies of documents you cannot afford to lose.
8. Intellectual property
The Services (including but not limited to the App, website, branding, logos, text, graphics, UI, source code, compiled binaries and databases) are owned by YachtSync Ltd or our licensors and are protected by copyright, trademark and other intellectual property laws of the United Kingdom and other jurisdictions.
Subject to your compliance with these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable licence to download and use the App on a device you own or control, solely for your personal, non-commercial use.
All rights not expressly granted are reserved. You may not copy, modify, distribute, publicly display or create derivative works based on the Services without our prior written permission.
The name “YachtSync” and the YachtSync logos are trademarks of YachtSync Ltd.
9. App stores and mobile licence
The App is distributed via the Apple App Store and (where applicable) Google Play. If you downloaded the App from the Apple App Store:
- These Terms are between you and YachtSync only, not with Apple
- Apple is not responsible for the App or its content
- Apple has no obligation to provide maintenance or support for the App
- In the event of any failure to conform to an applicable warranty, you may notify Apple who will refund the purchase price (if any); Apple has no further warranty obligation
- Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you
Equivalent provisions apply in favour of Google with respect to the App when obtained via Google Play.
10. Availability and modifications
We work hard to keep the Services running, but we cannot guarantee they will always be available, uninterrupted, or error-free. The Services may be temporarily unavailable due to maintenance, updates, or events outside our control.
We may, at any time and without prior notice:
- Modify, add or remove features
- Suspend or discontinue the Services (or any part of them) — where reasonably practicable we will give advance notice
- Impose limits on usage or storage
- Change technical requirements (e.g. minimum OS version)
We will not be liable to you for any modification, suspension or discontinuation of the Services.
11. Termination
By you. You may terminate your account at any time by deleting it from within the App or by emailing legal@yachtsync.uk.
By us. We may suspend or terminate your account without notice if we believe you have breached these Terms, engaged in fraudulent or illegal activity, or if your continued use poses a security or legal risk.
On termination, your right to use the Services ends immediately. Sections of these Terms that by their nature should survive termination (including intellectual property, disclaimers, limitation of liability, indemnity and governing law) will continue to apply.
12. Disclaimers — please read
In Short: YachtSync is a helpful organisational tool, not a compliance guarantee. You remain responsible for your own certificates.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED. WITHOUT LIMITING THE FOREGOING:
- YachtSync does not guarantee that you will not miss a certificate expiry. Reminders depend on the accuracy of the data you or the AI have entered, on push notifications reaching your device, and on you actually acting on them. Ultimately, ensuring your certificates are valid and current is your responsibility — not ours.
- YachtSync is not a maritime regulator, flag state, certification body or training provider. We do not issue certificates, we do not verify certificates, and we do not confirm a certificate is valid, accepted or sufficient for any specific role, vessel, flag state or inspection.
- No legal, regulatory or career advice. Content within the Services (including default reminder intervals, suggested certificate types, or any written guidance) is for general informational purposes only and is not legal, regulatory, professional or career advice. For advice specific to your situation, consult a qualified professional, your employer, or the relevant flag state authority.
- AI-extracted data may be inaccurate. See Section 6.
- We do not guarantee availability, uninterrupted access, or that defects will be corrected.
Nothing in these Terms excludes or limits any liability that cannot be excluded or limited by law, including liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation.
13. Limitation of liability
To the maximum extent permitted by law, in no event shall YachtSync Ltd, its directors, employees, contractors or licensors be liable to you for any:
- Indirect, incidental, special, consequential or exemplary damages
- Loss of profits, revenue, goodwill, opportunity or business
- Loss resulting from missed certificate expiries, failed inspections, denied boarding, loss of employment, or any career consequence
- Loss of data (other than as caused by our gross negligence or wilful misconduct, and subject to your own backup responsibilities described in Section 7)
To the extent any liability of YachtSync Ltd to you under these Terms cannot be excluded, it is limited to the greater of (a) the total amount you have paid us in the twelve months preceding the event giving rise to the claim, or (b) £100.
These limitations apply regardless of the legal theory on which the claim is based and even if we have been advised of the possibility of such damages. This does not affect your statutory rights as a consumer where applicable.
14. Indemnity
You agree to indemnify, defend and hold harmless YachtSync Ltd and its directors, employees and agents from and against any claims, liabilities, damages, losses and expenses (including reasonable legal fees) arising out of or related to your:
- Breach of these Terms
- Violation of any law or third-party right
- Content you upload or actions you take within the Services
15. Governing law and jurisdiction
These Terms and any dispute arising out of or in connection with them are governed by the laws of England and Wales.
The courts of England and Wales have exclusive jurisdiction to settle any dispute, except that nothing in this section prevents a consumer resident elsewhere in the UK from bringing proceedings in the courts of their home jurisdiction where they are entitled to do so under mandatory law.
16. General provisions
Entire agreement. These Terms, together with the Privacy Policy, constitute the entire agreement between you and YachtSync Ltd regarding the Services and supersede any prior agreements.
Severability. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
No waiver. Our failure to enforce any right or provision of these Terms will not be a waiver of that right.
Assignment. You may not assign or transfer these Terms or any of your rights under them without our prior written consent. We may assign these Terms freely in connection with a merger, acquisition, reorganisation or sale of assets.
Force majeure. We are not liable for any failure or delay in performance caused by events beyond our reasonable control, including natural disasters, acts of government, internet outages, cyberattacks or labour disputes.
No third-party rights. Except for Apple and Google where specified in Section 9, these Terms do not confer any rights on any third party under the Contracts (Rights of Third Parties) Act 1999.
